The mission of the Tunnel to Towers Foundation is to honor the sacrifice of firefighter Stephen Siller who laid down his life to save others on September 11, 2001. We also honor our military and first responders who continue to make the supreme sacrifice of life and limb for our country. The Tunnel to Towers Foundation is committed to eradicating homelessness amongst our veterans.

This role provides administrative and logistical support for the National Run & Climb Series, managing event materials, vendor relationships, budgets, and volunteer communications. The position ensures National Run & Climb Series Directors have the resources and guidance needed to execute successful, well-organized events nationwide.

Duties and responsibilities

  • Serve in an administrative role for the National Run & Climb Series.
  • Ship and order materials to our National Run & Climb Series Directors.
  • Maintain relationships with our numerous vendors.
  • Create and adhere to timelines to ensure that all events receive their materials in a timely manner.
  • Steward a relationship with our Volunteer National Run & Climb Series Directors and ensure they have the resources needed to succeed.
  • Keep an accurate inventory of all of the items we have in the office and with our vendors, and order more as needed.
  • Assist with paying invoices to ensure that they are paid on time.
  • Manage a small number of Runs & Climbs by acting as the primary contact for volunteer Runs & Climbs Directors.
  • Coordinate logistics, including venue reservations, permits, and insurance requirements.
  • Develop individual budgets for each event and manage vendor contracts.
  • Manage event volunteer communications and ensure they have the resources needed to succeed.
  • Respond to Volunteer Director inquiries and provide event updates.
  • Assist in creating event promotional materials such as postcards, flyers, posters, email campaigns, etc.
  • Maintain event pages on Run Signup.
  • Work with our legal, finance, and marketing departments to ensure the success of your events.

Qualifications

  • Minimum of Bachelor’s Degree.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Detail-oriented.
  • Experience in event planning, volunteer coordination, or related fields is a plus.
  • Ability to multitask multiple projects and prioritize in a fast-paced environment.
  • Proficient in Microsoft Office/ Google Suite (or equivalent).
  • Pre-employment screening, including a background check, is required.

Working conditions

Special working conditions may include: a change in days worked, shift hours, and/or working conditions (outdoors or other locations) when participating and assisting in special events needed.
