Broadview Manor is hiring an Administrative Assistant to support the Administrator with daily operations, employee coordination, and compliance tracking. This role is ideal for someone who is organized, responsive, and comfortable working across scheduling, documentation, and regulatory systems.

What You’ll Do

  • Support the Administrator with calendars, appointments, meeting coordination, and follow-up.
  • Maintain employee staffing schedules, including updates in Empeon.
  • Support new hire onboarding: first-day paperwork, orientation packets, job description acknowledgments, and training documentation.
  • Coordinate employee medicals with the lab and onsite physician to ensure timely completion.
  • Manage compliance system updates and documentation, including:
  • HCR (HHAs): Add upon hire and terminate in real time upon separation.
  • CHRC: Remove individuals in real time upon termination and maintain tracking documentation.
  • OMIG exclusion checks: Run checks, document results, and maintain audit-ready records.
  • ALIS: Track and update data; maintain related compliance records.
  • Process union applications and coordinate fingerprinting appointments as needed.
  • Complete pay rate notice updates when required.
  • Support Workers’ Compensation incident reporting, including ensuring the employee completes their portion within 24 hours.
  • Obtain witness statements, compile write-ups, and support documentation review for incidents (including coordinating review of available footage when assigned).
  • Maintain organized electronic and paper files to support DOH readiness and internal audits.

Requirements

  • High School Diploma or GED required.
  • Strong attention to detail and ability to prioritize multiple deadlines.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Ability to handle confidential information with professionalism and discretion.
  • Prior experience in healthcare, assisted living, HR support, scheduling, or compliance is strongly preferred.

Preferred (Nice to Have)

  • Experience with Empeon, HCR, CHRC, OMIG, and/or ALIS.

Schedule & Benefits

  • Full-time; schedule typically Monday–Friday, 9am-5pm, with flexibility based on facility needs.
